Tracking and monitoring digital media

Monitoring how digital media files are accessed is vital to understanding and adapting to your user base. By centralising your digital media in Third Light IMS, you can gain insight into how your library is being used. IMS tracks activity continuously, and provides graphic and tabular reports on demand. These reports are ideal for management reviews, and to identify new trends.

IMS logs all activity including:

  • User logins, including IP and country
  • Viewing activity
  • Uploads and downloads
  • Searches, including results displayed
  • Changes made to meta data
  • Changes made to user accounts or permissions
  • Software version changes
  • Low-level auditing for all activity

Third Light IMS also encourages record-keeping by users. For example, when a file is downloaded from IMS, the reason for the download is logged by requesting information from the user first. Search activity logging

IMS provides you with rich reporting functionality, including tracking the search requests which are being made by your users. You can view the search log at any time, and filter the list to see only those results which have failed. This provides insightful data and allows you to steer keywording activities to more accurately match the type of terms your users are entering.

Audit logs and statistics

Many IMS installations contain large numbers of valuable assets which are shared within workgroups or departments. To allow IMS to comply with corporate guidelines, we offer the option to provide an audit log from within the IMS Administration Console which tracks the usage of the system.

All IMS sites include trend graphs of activity for at-a-glance management. Many commercially valuable reports are produced, including sophisticated tracking of the popularity of files, an analysis of the profile of your customers (eg. the time of day when they typically view your IMS site), system access logs, search term summaries, logins and email activity. The IMS reporting software makes running your site more efficient and helps you adjust to your clients' preferences.

CSV (Excel) exportable data including financial reports

The reports available in IMS can be exported to CSV format (which is suitable for use with most spreadsheet programs, including Excel), if your audit requirements necessitate it.
